Outreach

Improve your response rate

Simple habits — personalization, short messages, and testing one thing at a time — that get more replies.

Good outreach isn't about volume — it's about landing in the inbox and giving clinicians a reason to reply. A few habits go a long way.

Lead with a reason they'd care

The AI drafts already pull in each candidate's specialty, location, and employer — lean into that. A message that clearly speaks to their background reads as personal, not mass-sent, and gets far better response than a generic template.

Keep it short and human

Shorter messages get read. Pick the tone that fits your brand — Warm and Friendly read like a person reaching out; Professional is more formal. Aim for a couple of tight paragraphs and one clear ask.

Test one thing at a time

When you want to improve results, change a single variable — usually the subject line — and keep everything else identical. Send a small batch on each version, then compare replies. If you change the subject and the body at once, you won't know which one moved the needle.

Protect your deliverability

The goal of a first message is simply to reach the inbox — not spam or the promotions tab. Favor plain, personal wording over heavy formatting and lots of links, and ramp up your sending volume gradually rather than all at once.

Always proofread AI drafts

AI drafts are a strong first draft, not a final one. Before sending, double-check the details the AI pulled from the profile — the candidate's name, employer, and credentials — since those are what make or break a first impression.

Troubleshooting

My messages are landing in spam or the promotions tab.

Keep messages short and personal, go easy on links and heavy formatting, and build up your sending volume gradually. Plain, human-sounding email is far more likely to reach the inbox.
